How to stop duplicate marketing emails after an import or sync: a small‑team cooldown and suppress plan

Stage and tag imports before any send

  • Always mark an import or sync with a batch tag or import_stage field so you can find the affected records quickly. For example: add an Import Batch ID column on CSVs, create a static list in HubSpot, use Mailchimp audience tags, or set a Campaign/Custom field in Salesforce.
  • Use a small sample first: import 100–200 records, run the same send rules against that sample and confirm nothing resends. Treat that dry‑run like a production test.

When an integration retries, check whether an email with that token has already been sent and refuse to send again. This pattern works the same in HubSpot, Mailchimp, Salesforce, Marketo and Pardot — add a custom property/merge field and enforce the check in the automation step.

Quick monitoring, rollback and owner checklist

Run these checks immediately after any large import or sync: 2–3 sample dry runs, a spot check of last_email_sent values, and a look at deliverability spikes (opens/sends) to spot duplicates. If you see unexpected sends, pause the campaign or automation, add a suppress_until date for the batch, and remove the import_stage tag only when records are safe.

Give one person ownership for the import window (an automation steward) and document the rollback steps: pause sends, add the suppress_until value, extract the import batch list, and backfill last_email_sent where appropriate.
